The content of each Category of an individual Preferences Set can be classified as:
·'Empty' or 'Null' - No criteria entries are specified.
·'Static' - All non-null criteria specifications are physically contained within the Mailroom Preferences Set and no entry will be changed until the entire Preferences Set is replaced.
·'Dynamic' - Criteria entries are not physically contained within the Mailroom Preferences Set but are retrieved when the Category is accessed by the Mail Clerk for application to an e-mail. For this Category Type, the mailbox owner enters a linkage to a - local or LAN-accessible or Internet-accessible - data structure containing to the actual Category criteria specifications.

An Empty Category cannot cause an e-mail to be classified 'wanted'.

A Preferences Set consisting entirely of Empty categories causes all associated e-mail to be classified 'unwanted'.

A Dynamic category provides the owner with the most flexibility in defining, maintaining and applying the Category criteria at the cost of additional Mail Clerk processing overhead.

The Mail Clerk maintains both the Mail Traffic Log and the Preferences Set History to chronicle and account for mail processing activity. To do so accurately, the Clerk must record changes in Preferences Set content.

Changes to a Preferences Set's Static Category's entries and Dynamic Category's link are recorded when the Mailroom copy of the Set is replaced.

Changes to Dynamic Category criteria must be detected and recorded by the Mail Clerk before application of the criteria. To To permit accurate detection of changes, the Mail Clerk maintains a copy of each Dynamic Category's criteria in the Mailroom. When Category criteria are required for application to an e-mail, the Mail Clerk copies the linked-to information to the Mailroom. The copied information is compared to the Mailroom filed copy to detect content change. When changes are detected, the Mail Clerk records the modified Set in the Preferences Set History before applying the modified Set
